This Privacy Policy explains how Poker Foundry ("we", "us") collects and uses personal data when you visit pokerfoundry.net, request a quote, place an order, use Label Studio, or subscribe to our newsletter.
For cookies specifically, see our Cookie Policy. For order terms, see our Terms & Conditions.
Who is responsible
Poker Foundry is the controller of personal data described in this policy. Contact us at contact@pokerfoundry.net for privacy questions or to exercise your rights.
Data we collect
Information you give us
- Contact and order details: name, email address, phone number (if provided), delivery address, and order preferences when you request a quote, place a Foundry or custom order, or contact us.
- Payment information: payment is processed by Stripe. We do not store full card numbers on our servers. We receive payment confirmation, limited billing details, and identifiers needed to fulfil and support your order.
- Artwork and design data: files, briefs, and Label Studio designs you create or upload so we can produce proofs and fulfil custom orders.
- Newsletter: email address (and any preference you select) when you subscribe.
Information collected automatically
- Technical data: IP address, browser type, device information, and pages visited.
- Analytics: we use privacy-friendly analytics and, if you consent, Google Analytics and related advertising tags. See the Cookie Policy for details and choices.
- Error and security monitoring: limited diagnostic data may be collected to keep the site reliable and secure.
How we use your data
We use personal data to:
- Provide quotes, process orders, take payment, manufacture or dispatch chips, and provide customer support
- Send transactional emails about your quote, order, proof, or delivery
- Send marketing emails if you have subscribed (you can unsubscribe at any time)
- Improve the website, products, and services
- Detect fraud and protect our systems
- Meet legal and accounting obligations
Legal bases (UK GDPR)
Depending on the activity, we rely on:
- Contract: to take steps at your request and fulfil orders
- Legitimate interests: to operate, secure, and improve our business in ways that do not override your rights
- Consent: for optional analytics/advertising cookies and marketing emails where consent is required
- Legal obligation: where we must keep records for tax or other law
Who we share data with
We use trusted processors to run the business, including:
- Stripe - payment processing
- Netlify (and related hosting/storage) - website hosting, forms, and order-related storage
- Email and messaging tools - transactional and support communications
- Analytics and advertising providers - only as described in the Cookie Policy and subject to your choices
- Manufacturing and logistics partners - as needed to produce and deliver your order
We do not sell your personal data.
International transfers
Some processors may process data outside the UK. Where that happens, we use appropriate safeguards required by UK data protection law (such as standard contractual clauses or an adequacy decision).
How long we keep data
We keep personal data only as long as needed for the purposes above:
- Orders and invoices: typically for the period required for accounting, warranty/support, and legal claims
- Quotes and design files: for as long as needed to support your project and any follow-on orders, then deleted or anonymised when no longer required
- Newsletter: until you unsubscribe or we delete inactive lists
- Analytics: according to each tool's retention settings and your cookie choices
Your rights
Under UK GDPR you may have the right to access, rectify, erase, restrict, or object to certain processing, and to data portability. Where processing is based on consent, you may withdraw consent at any time (this does not affect earlier lawful processing).
To exercise your rights, email contact@pokerfoundry.net. You also have the right to complain to the Information Commissioner's Office (ICO).
Children
Our products and site are aimed at adults buying poker equipment. We do not knowingly collect personal data from children.
Changes
We may update this policy from time to time. The "Last updated" date at the top will change when we do. Significant changes may also be highlighted on the site.
